Users and permissions
The Users & Permissions section is where you give your staff their own accounts and decide what each person may do. It has four pages:
| Page | What it is for |
|---|---|
| Departments | Group employees, for example Management, Kitchen, Sales floor. |
| Role & permission | Roles such as Cashier or Branch manager, and exactly what each role can do. |
| Employees | Staff accounts: who they are, their role, and where they work. |
| Staff transfer | Move staff between stores and warehouses, with a history. |
As the shop owner you can do everything. Staff get only the permissions of their role; menu entries and buttons they may not use are hidden.
The order to set things up is: departments, then roles with their permissions, then employees.
Departments
Open Users & Permissions › Departments. The list shows each Department and how many Employees it has. Every new shop starts with "Management".
To add one, choose New department, type the Name and save. Click a department to rename or delete it. A department that still has employees cannot be deleted.
Roles and permissions
Open Users & Permissions › Role & permission. The list shows each Role with its description, how many Permissions it has (or No permissions) and how many Employees have it.
Create a role
- Choose New role, enter a Name and an optional Description, and save. Some role names are reserved and cannot be used.
- On the role's row, choose Permissions.
- Tick what the role may do. Permissions are grouped by area (one row per area, for example customers or payment methods), with one tick box per action such as read, create, update and delete. Tick the area's name to select its whole row.
- Use the search box to find an area.
- Select all and Clear tick or untick everything.
- The counter shows how many permissions are selected.
- Save.
A role needs at least one permission before you can give it to an employee. Roles cannot be deleted; rename and adjust them instead.
Permissions follow your add-ons: areas of add-ons your shop does not have are not offered.
Limit discounts at the till
When a role has the POS discount permission, the Permissions dialog shows Maximum discount at the till (%). It covers item, line and invoice discounts together. Leave it empty for no limit. Above the limit, a manager approves the discount with their password. See Discounts and manager approval.
Example: a clothing shop creates a "Cashier" role with selling permissions and a maximum discount of 10 %, and a "Branch manager" role with no limit. A cashier who wants to give 20 % off a damaged item calls the branch manager to approve it.
Employees
Open Users & Permissions › Employees. The list shows each Employee with email, Phone, Role, Department, Stores, Staff ID and City. The number of users you can have is set by your plan.
Add an employee
-
Choose New employee.
-
Fill in the profile:
Field Notes Name Required. Email address Required. The employee can sign in with it. Phone Required, format 05XXXXXXXX. The employee can also sign in with it.Password Required for a new employee. When editing, this is New password: leave it empty to keep the current password. Role Required. Roles without permissions are marked "(No permissions)". Department The employee's department. Staff ID Your own staff number, optional. Country, City, Address Optional. -
Under POS access locations, choose the Stores first, then the Warehouses. Only warehouses of the chosen stores are listed. The employee can work at the POS only in these locations.
-
Save. The employee can now sign in with their email or phone and password.
Click an employee to edit or delete them.
App access
When your plan includes staff apps (the waiter app, self-service or the call center app), an existing employee's page shows App access: one switch per app, with how many places are in use, for example "3 / 5 in use". Changes are saved straight away. Only the shop owner can change app access, and only within the places your plan gives; when all places are used, free one up first. Employees without access cannot sign in to that app.
Staff transfer
Use Users & Permissions › Staff transfer when someone moves to another branch, for example a cashier who covers the airport kiosk for the summer.
The list shows every transfer: the Employee and who made the change, the Stores and Warehouses (each line shows from → to, or Removed), the Effective date and the Reason. Nothing is overwritten; every transfer stays in the history.
Move an employee
- Choose New transfer, or click an existing row to open Edit staff assignment for that employee.
- Choose the Employee. The page shows their Current assignment and starts from it.
- Under POS access locations, choose the new Stores and then Warehouses.
- Optionally set the Effective date (leave empty for now) and a Reason.
- Save.
Remove all assignments takes the employee off every store and warehouse, for example when they leave.
