Taking payment
When the order is ready, the cashier takes payment, the sale is saved, stock is taken, and the receipt prints. This page explains the payment options and what the till checks before it completes a sale.
Before you pay
The Pay button (or F9) works only when:
- the order has at least one item and every line can still be sold,
- a cash session is open when the shop uses cash closing (see Cash sessions and X/Z reports),
- the open session is for the warehouse you sell from and is not from an earlier business day.
When you open the payment dialog, the till asks the server for a stock check. If an item is short, the dialog shows a warning such as Croissant: in stock 2, needed 3. These are warnings only. Whether a sale with short stock goes through depends on Allow oversell in General settings (see General settings).
Payment methods
The payment dialog shows every active payment method of the shop, in the order and with the images set in Settings › Payment methods (see Payment methods). Every shop starts with Cash, Mada, Visa, MasterCard and Amex, and you can add others such as STC Pay or a bank transfer.
| Kind | How it works at the till |
|---|---|
| Cash | Quick amount buttons and the change to give back. Only cash gives change |
| Card | Enter a reference (for example the terminal's RRN). A card payment can never be more than the total |
| Other | Like a card: a reference, and never more than the total |
| Credit | The whole order, or what is left unpaid, goes on the customer's account |
Pay with one method
- Press Pay or F9.
- Choose the method.
- For cash, type or tap the amount handed over. The till shows the change.
- For a card or other method, enter the reference if you have one.
- Confirm. The till shows "Sale complete" with the change in large type, and the receipt.
Split a payment
A customer can pay with several methods, for example 20.00 by Mada and the rest in cash. Add each method with its amount until the total is covered. Card and other amounts together cannot exceed the total; any extra over the total must be cash, and comes back as change.
Sell on credit
To leave all or part of a sale unpaid, the order must have a customer. Choose Credit for the whole amount or for the remainder after other payments. The sale is saved as partly paid or unpaid and shows what is still due in the Sales list, where you can receive the rest later.
Note: A credit payment received later in cash goes into the receiving cashier's open cash session, so the drawer count includes it.
Example: a split payment at a supermarket
The basket comes to 137.50. The customer pays 100.00 with Mada and hands over a 50 note for the rest. The cashier adds Mada 100.00 with the terminal reference, then cash 50.00. The till shows change of 12.50, the sale is saved with both payments, and the cash session expects 37.50 more cash in the drawer.
What the till checks when you confirm
The server prices every sale again; the till never sends prices. If something changed since the till loaded its data, you see a message instead of a sale:
| Situation | What happens |
|---|---|
| Prices changed in the back office | The sale is refused, the till reloads its catalogue and the cart is priced again. Check the new total with the customer and pay again |
| A discount above your limit | A manager approves it first (see Discounts and manager approval) |
| The draft or table check was paid, merged or deleted on another till | The sale is refused so the order is never paid twice. The items stay in the cart as a new order for you to decide |
| The connection drops while paying | The sale is kept on the till and sent later (if the shop sells offline). The server recognises a retried sale and never saves it twice |
The receipt
After a sale the receipt opens on screen. Print it with the browser's print dialog on an 80 mm receipt printer. The receipt is a simplified tax invoice with the ZATCA QR code (seller, VAT number, time, total and VAT). It also shows:
- the invoice number and the order number,
- each line with its options, discounts, promotional items and tobacco fee,
- "You saved with offers" when promotions applied,
- every payment and the change.
A sale made offline prints with "Pending" in place of the invoice number until it is sent. See Selling offline.
Invoice and order numbers
- Invoice numbers run per shop. The first sale takes Sale invoice start with from General settings, then each sale takes the next number, with Sale invoice String Prefix in front. Two tills never get the same number.
- Order numbers run per warehouse. With cash closing, they restart at 1 every business day, which begins at Day Start in General settings. Without cash closing they never reset. A draft keeps its order number when it is paid.
