Cash sessions and X/Z reports

A cash session is one cashier's drawer from opening to closing. You open it with the starting float, sell, and close it by counting what is in the drawer. The system works out what should be there, so differences show up at once. The day-end (Z) report summarises the session; while it is still open, the same report shows the figures so far (X report).

Turn on cash closing

Cash sessions are controlled by Allow cash closing in General settings (see General settings).

With Allow cash closing on:

  • a cashier must open a session before selling,
  • each session belongs to one warehouse, and a sale must be made in that warehouse,
  • the business day starts at Day Start (in the shop's time zone), and order numbers restart at 1 every business day,
  • a session left open from an earlier business day must be closed before selling again,
  • returns also need an open session of today's business day.

Tip: Set Day Start to a time when the shop is closed, such as 04:00 for a restaurant that serves after midnight. Sales after midnight then count for the day that started the evening before.

Open a session

  1. In the till header, choose Open session.
  2. Enter the starting float: the cash already in the drawer.
  3. Confirm. The header button changes to Session open.

Opening a session needs a connection. If your open session is for another warehouse, the till shows Your open cash session is for another warehouse. and you cannot sell until you switch back or close it.

During the session

Everything that moves cash is counted against your session:

  • cash sales (net of change),
  • credit payments you receive in cash later from the Sales list,
  • cash refunds from returns, which lower the expected cash.

Close a session

  1. Choose Session open in the header.
  2. Count the drawer and enter the amount for each payment method. The cash count is required.
  3. The dialog shows what was expected for each method next to what you counted.
  4. Confirm. The till shows Cash session closed.

With cash closing on, the till opens the dialog for the next session straight away, because selling needs one.

A session from an earlier day

If a session is still open from an earlier business day, the header button reads Close old session, the till warns Your cash session is from an earlier business day: close it and open a new one., and the Pay button is blocked. When you open the till in that state, the close dialog appears at once; after closing, the open dialog follows. The till checks this again every 5 minutes while it stays open.

Sales already made offline are still accepted when they are sent, even if the session closed in the meantime.

Example: a café's morning shift

At 7:00 the barista opens the till and enters a float of 200.00. During the shift she takes 1,150.00 in cash, 2,300.00 by Mada, and refunds one 18.00 cash return. Expected cash at closing is 200.00 + 1,150.00 − 18.00 = 1,332.00. She counts 1,330.00 in the drawer and enters the Mada total from the terminal. The Z report shows a cash difference of −2.00 for the manager to follow up.

The Z report (day-end) and X report (so far)

Managers open the reports from Reports › Cash sessions (this needs permission to read cash sessions; staff see only the sessions of their warehouses).

The list shows the cashier, warehouse, when the session was opened and closed (or Open), the opening float, expected cash, counted cash and the difference. Filter by warehouses, cashiers and status (open or closed). Open a row to see its report.

The report shows, per payment method:

  • what sales took,
  • what returns paid back,
  • what was expected in the drawer,
  • for a closed session, what was counted and the difference.

And for the session as a whole: the number of sales, gross sales, discounts, returns, net sales, VAT, net total, sales on credit, and discounts approved by a manager.
