Waste and adjustments

Waste & adjustments records stock that left without being sold (spoiled, damaged, staff meals) and corrections when stock was found or went missing. Each entry is valued at what the stock cost, so the reports show what it cost you.

It is part of the Inventory add-on. Open it from Inventory Management › Warehouse Management › Waste & adjustments.

Waste and staff meals take stock out. A correction can add or remove stock: enter a positive quantity for stock found and a negative one for stock missing.

You see only the kinds your role allows. Recording waste and staff meals, and recording corrections, are separate permissions, so a cook can log waste without being able to correct stock.

Record an entry

  1. Click Log waste, Staff meal or Correction.
  2. Choose the Warehouse.
  3. Add items with the search box at the top (type or scan). Each line shows what is In stock.
  4. Enter the Quantity for each line. For a correction, the column is Quantity (+ found, − missing).
  5. Pick a Reason for each line (waste and corrections). For a staff meal, you can choose who it was For.
  6. Add a Note if you like (optional).
  7. Click Post.

The Summary shows the number of Items and About how much the entry is worth at the current average cost.

An entry is posted as soon as you save it: there is no draft. This keeps it quick, for example a cook logging a dropped tray on a phone. If the connection hiccups and you tap twice, the entry is still saved only once.

Example

At closing, a bakery throws away six unsold croissants. The shift lead taps Log waste, scans the croissant, enters 6, picks Expired and posts. The stock goes down by six at the croissants' average cost, and the loss shows in the Stock losses report.

Short stock

You cannot take out more than the stock shows (More than the stock shows cannot be taken out. If the stock is wrong, count it first.), unless Allow oversell is on in General settings. If the system quantity is wrong, do a stock count rather than forcing it.

Void an entry

Entries are never edited. To undo one, open it and click Void, then give a reason. The stock is put back at the same cost it left at, so the average cost does not move (Voided: the stock was put back).

Found stock that has already been used cannot be voided.

Find entries

Use the tabs (All, Waste, Staff meal, Correction) and the Warehouse and Status (Posted, Voided) filters, or search. The list shows the Number, Kind, Items, Warehouse, Date, Value and who made it (By). Opening an entry shows its lines with Quantity, Unit cost and value, the Business day, and its History.

Staff see only their warehouses.

Where losses are reported

The Stock losses report shows, per item, the value lost to waste, staff meals, corrections, count differences and transit for a period and warehouse. When the shop has Inventory, the Daily sales report adds stock losses and profit after losses. See Reports.
