Manage shops

A shop is one business on your platform: a café, a supermarket, a pharmacy. Each shop has one owner account, its own stores (branches), staff, products and sales, and its own subscription and add-ons. The Shops page lists every shop and is where you step in for a single one.

The shop list

Open Shops. Each row shows:

ColumnMeaning
ShopShop name and the owner's email.
OwnerThe owner's name.
Add-onsHow many add-ons you have enabled manually for this shop (add-ons that come from the plan are not counted here).
StatusActive, Inactive or Deleted.
CreatedWhen the shop was created.

Click a row to open the shop's dialog.

Create a shop yourself

Most shops sign up on their own (see Shop sign-up and first login). Create one yourself when you onboard a customer directly, for example a restaurant group that signed a contract with you.

  1. Open Shops and choose Create shop.
  2. Under Shop details, fill in Shop name and choose the Shop category (for example Restaurant or Retail). Only active categories are listed.
  3. Under Owner account, fill in Owner name, Owner email, Owner phone (format +9665xxxxxxxx) and a Temporary password of at least 12 characters.
  4. Choose Create shop.

The shop and its owner account are created together: if either one fails (for example the email is already used), nothing is created. Give the owner their temporary password and ask them to change it after the first sign-in.

Change a shop's state

Open the shop. At the top of the dialog are three switches; each change is saved at once.

SwitchWhat it doesWhen to use it
Shop activeOff: the shop's owner and staff can no longer sign in.A shop that stopped paying by arrangement, or asked you to pause its account.
Lifetime accountOn: the shop has no plan limits, is never reminded to renew and is never suspended when a plan ends. Its billing page shows the plan as lifetime and offers no plans.A partner, a reseller's demo shop, or a customer who bought a one-time licence from you.
DeletedOn: the shop is marked as deleted. Switch it off again to restore it.Removing a shop that signed up by mistake or for testing.

The dialog also shows when the shop was created and its version number, which changes every time the shop is saved.

Note: Super administrator viewers can open the dialog but cannot change anything.

Add-ons for one shop

Below the switches, the Add-ons section lists every add-on (POS, Inventory, Purchasing, Accounting, ZATCA phase 2, Approval center and so on) with where it comes from for this shop and whether it is on.

An add-on is on for a shop when it is not suspended and at least one of these applies:

SourceMeaning
DefaultThe add-on is on for every shop (POS).
ManualYou enabled it for this shop here, as active or as a trial, and today is within its dates.
PlanThe shop's current, paid, unexpired subscription is on a plan that includes it.

For each add-on you can:

  • Enable it for the shop, optionally with a start and end date.
  • Give a trial: like enabling, but it needs an end date. When the date passes, the add-on goes off by itself.
  • Suspend it: the add-on is off for this shop whatever the plan says. Use this for a shop that misuses a feature, or while you sort out a dispute.
  • Remove the grant: removes only your manual grant. If the plan includes the add-on, the shop keeps it.
  • Choose the add-on's features, for example the kitchen display or offline mode within POS.

Rules that keep shops safe

  • Dependencies are switched on for you. Granting an add-on also grants the add-ons it depends on, with the same dates.
  • Nothing goes off by surprise. A change that would switch off something another add-on or feature needs is refused with a message such as "Turn off COGS first: it needs INVENTORY".
  • Add-ons that are not offered (see Subscription plans and add-ons) cannot be newly granted. Shops that already have them keep them.
  • No data is deleted. When an add-on goes off, the shop's pages for it disappear from the sidebar, but its data stays. Switch the add-on on again and everything is where it was.

Changes reach the shop at once: the owner's and staff's open portals and tills update their menus without signing in again.

Example: a café on the "Café Monthly" plan wants to try the kitchen display before upgrading. Open the café, enable the Kitchen display feature as a trial ending in 14 days. When the trial ends it switches off by itself; if the café upgrades to a plan that includes it, it simply stays on.

Subscriptions of a shop

To see or change which plan a shop is on, extend its subscription or change its limits, use the Shop subscriptions tab in Subscriptions. See Subscription plans and add-ons.
