Platform payments and invoices
Shop owners pay for their plan online, through Stripe, PayPal or Razorpay. Each payment buys one billing period of a plan and produces an invoice. The Payments page is where you see those invoices, set up the gateways and fill in the details printed on every invoice.
Payments has three tabs: Invoices, Payment gateways and Billing settings.
Billing settings
Fill these in before you switch on any gateway, because they are copied onto every invoice.
| Field | What it does |
|---|---|
| Seller name (on invoices) | Your company name as the seller. Required. |
| Seller tax number | Your tax registration number, printed on invoices. |
| Seller address | Your address, printed on invoices. |
| Billing email | Your billing contact email. |
| Tax rate % | Added on top of plan prices; 0 for none. Plan prices are always entered without tax. |
| Tax name | The name shown for the tax, for example VAT. |
| Invoice number prefix | For example INV- gives INV-000001. |
| Renewal reminder (days before) | How many days before a plan or trial ends the owner gets a reminder email. 0 = no reminder email. |
| Application URL | Where gateways send owners back after paying, for example https://pos.example.com. |
Choose Save settings.
Example: you sell to Saudi shops, so you set Tax rate % to 15 and Tax name to VAT. A plan priced 100 SAR then costs the owner 115 SAR, and the invoice shows 100 + 15.
Note: Reminder and expiry emails are only sent when email is set up on the server. See Email.
Payment gateways
The Payment gateways tab lists Stripe, PayPal and Razorpay with:
- Gateway and the name owners see ("Shown to owners as …").
- Mode: Test or Live.
- Keys: the public key and "secret saved", or Not configured.
- Status: Enabled or Off.
Click a gateway to edit it: the name shown to shop owners, its keys and secrets, Test mode (sandbox keys) and Offer to shop owners. The dialog also shows the Webhook URL to copy into the gateway's dashboard and the Events to send. Secrets are encrypted and never shown again; leave a secret empty to keep the saved one.
The full step-by-step setup of each gateway is in Online payments.
When no gateway is offered, owners see "Online payment is not available yet. Contact support to renew your subscription." on their billing page.
Invoices
The Invoices tab lists every checkout started by a shop owner. Search by invoice number, shop or email, and filter by status:
| Status | Meaning |
|---|---|
| Paid | The gateway confirmed the payment. The invoice has a number and the shop's subscription was renewed. |
| Pending | The owner started a checkout but the payment is not confirmed yet. |
| Failed | The payment failed, or the amount or currency paid did not match the invoice. Nothing changed for the shop. |
| Expired | An unpaid checkout is closed after a day. If the payment still arrives later, the invoice is settled anyway. |
Invoices paid in a gateway's test mode carry a Test badge.
Click an invoice to see the plan, subtotal, tax, total, status, the period it pays for, the gateway's own payment reference and, for failed payments, the reason.
- Download PDF downloads a paid invoice.
- Check with gateway asks the gateway again whether an unpaid invoice was paid. Use it when an owner says they paid but the invoice still shows Pending, for example because a webhook was lost. If the gateway confirms the payment, the subscription is renewed at once.
How invoice numbers work
An invoice gets its number only when it is paid, so the numbers have no gaps: unpaid or failed checkouts never use up a number. Every invoice keeps a copy of the plan, prices, tax, shop and seller details as they were at checkout, so later changes to a plan or to your billing settings do not change old invoices.
What a payment does
- Renewing the same plan while it is still running adds the new period after the current end date and keeps the shop's limits and add-on quantities.
- Buying another plan, or paying after the plan has expired, starts the new plan right away with that plan's limits and add-ons. Unused days of the old plan are not credited.
- A payment is applied exactly once, even if the owner returns to the app and the gateway's webhook arrives as well.
Gateways do not charge saved cards automatically: the owner pays again for each period after the reminder email.
When a plan expires
At the end of a plan or trial, the shop is suspended: sales and changes are paused, and the add-ons from the plan go off. The owner gets one email and their portal shows a prompt to renew. The billing page stays open, and paying lifts the suspension at once. No data is deleted. Lifetime shops are never reminded or suspended.
