Sales list

Sales › Sales list shows every sale with its invoice and order number, customer, payments and what is still owed. Use it to find a receipt, collect a credit payment, start a return, check offline sales and export sales to Excel.

Choose the period

The list opens on today. Pick Today, Yesterday, Last 7 days, This month or your own dates. Days are the shop's local days.

The totals

Above the list, tiles add up the filtered sales: Sales (the count), Total, Discount, Net taxable, VAT, Paid and Due. Due is highlighted when something is still owed.

The columns

Date, Invoice (with a mark for sales made offline), Order, Customer, Warehouse, Cashier, Items, VAT, Total, Payment (the methods used) and Status. A sale that is not fully paid shows Partly paid or Unpaid with Due and the amount.

Open a sale

Choose a row to see the sale:

  • its lines with options and notes, and the totals,
  • every payment, with the method, reference, when it was received and by whom,
  • the discount approver, when a manager approved a discount,
  • returned quantities per line, the sale's credit notes, and Returned / Paid back in the totals.

From here you can:

  • print the receipt again, with the ZATCA QR code,
  • receive a payment on a credit sale (needs the credit payment permission),
  • Return items while something is left to return (see Returns and credit notes),
  • Mark as reviewed for a sale waiting for review (see below).

Receive a credit payment

When a customer comes back to pay what they owe:

  1. Filter by Credit (not fully paid) or search for the customer.
  2. Open the sale.
  3. Enter the payment method, the amount and a reference if needed. The amount cannot be more than what is still owed.
  4. Save. The sale's status and Due update.

A payment received in cash goes into the receiving cashier's open cash session.

Example

A contractor bought building supplies for 2,400.00 on account at a hardware store, paying 400.00 in cash. The sale shows Partly paid · Due 2,000.00. A week later he transfers 1,500.00. The manager opens the sale, records 1,500.00 by bank transfer with the transfer reference, and the sale now shows Due 500.00.

Review offline sales

A sale made offline is always saved, even if it broke a rule the till could not check without the server. Such sales are marked To review. The reasons can be:

ReasonMeaning
UnderpaidPaid less than the total without a customer to put the rest on credit
Card over totalCard payments were more than the total
No sessionCash closing is on and there was no open cash session
Discount over limitA discount above the cashier's limit without a valid approval
Total changedPrices changed, so the till's total was not the server's

Choose To review (n) to see them all, open each sale, check it, and choose Mark as reviewed with a note. The system records who reviewed it and when; a sale can only be reviewed once. This needs the review permission (owners have it). See Selling offline.

Export to Excel

Choose Export to download the filtered list as an Excel file (up to 50,000 sales at a time).

Who sees what

Staff see the sales of the warehouses they are assigned to. Owners see every sale. Sales imported from the previous system are shown read-only.
