Suppliers
Suppliers are the companies you buy goods from. You pick a supplier on every purchase, and the purchase shows the supplier's contact, phone and VAT number.
Open the list from Inventory Management › Warehouse Management › Suppliers.
Add a supplier
- Open Suppliers and add a new supplier.
- Fill in the details:
| Detail | Required | Notes |
|---|---|---|
| Contact person | Yes | The person you deal with. |
| Company name | Yes | Must be unique in your shop. |
| Yes | Must be unique in your shop. | |
| Phone | Yes | A Saudi mobile number: 05XXXXXXXX, 5XXXXXXXX, 9665XXXXXXXX or +9665XXXXXXXX. It is stored as 9665XXXXXXXX, so the same number typed two ways is still recognised as a duplicate. Must be unique in your shop. |
| Address | Yes | |
| City | Yes | |
| Region, post code, country | No | |
| Image | No | For example the supplier's logo. |
| Tax number | No | The supplier's VAT number: exactly 15 digits, typed twice to avoid mistakes. Must be unique in your shop. |
- Save.
Example
A café buys its beans from a roastery. The owner adds the roastery with the account manager as the contact person, the company's 15-digit VAT number and its Riyadh address. When the first delivery arrives, the roastery is picked from the list on the purchase, and its VAT number appears beside the invoice.
Find, edit and delete suppliers
The list is paged. Search by name, company, email, phone, tax number or city.
- Open a supplier to edit it. If someone else changed the same supplier in the meantime, you are asked to reload instead of overwriting their change.
- A supplier that has purchases cannot be deleted, so your purchase history stays complete.
Import suppliers from Excel
To add many suppliers at once, import a spreadsheet. A sample file is available from the import.
The columns are:
name, company_name, vat_number, email, phone_number, address, city, state, postal_code, country
Every row is checked with the same rules as the form (required details, phone format, 15-digit tax number, no duplicates). The import is all or nothing: if any row is wrong, no supplier is added, so you can fix the file and import it again. Rows with an empty tax number are accepted.
Export suppliers
Export the supplier list to Excel, for example to share it with your accountant.
Who can do what
Viewing, adding, editing and deleting suppliers are separate permissions in the member's role (see Users and permissions). Importing needs permission to add suppliers.
