Transfers between warehouses

A transfer sends stock from one warehouse to another. The goods leave the sending warehouse at once and arrive when the other side receives them. Goods on the way keep their value, and anything that does not arrive is recorded as a loss.

Transfers are part of the Inventory add-on. Open them from Inventory Management › Warehouse Management › Transfers.

Send goods

  1. Click Send goods.
  2. Choose From (a warehouse you work in) and To (any active warehouse of the shop).
  3. Add items with the search box (type or scan). Each line shows what is In stock.
  4. Enter the Quantity for each line. The Value is worked out at the sending warehouse's average cost.
  5. Add a Note if you like (optional).
  6. Click Send.

The goods leave the sending warehouse immediately, so they cannot be sold there while they are on the way. You cannot send more than is in stock.

If you work in both warehouses and are taking the goods over yourself, tick Received at once (I am taking them over myself). The button becomes Send and receive, and the transfer is sent and received in one step.

Receive goods

The receiving warehouse sees the transfers waiting for it at the top of the list (transfers to receive), along with the value On the way.

  1. Open the transfer and click Receive. You must work in the receiving warehouse.
  2. Each line starts at the quantity sent (Sent). Lower Arrived for anything missing or broken.
  3. Add a Note on receiving if needed, for example two bottles broken.
  4. Confirm. If some items arrived short, you are asked to confirm that the missing quantity is recorded as lost on the way.

The goods come in at the cost they were sent at, so their value moves with them. What did not arrive shows as Lost on the way on the transfer and in the Stock losses report.

Example

A restaurant's central warehouse sends 10 bottles of olive oil at 4.00 each (value 40.00) to the downtown branch. Two bottles break on the way. The branch receives 8: 32.00 comes into its stock, and 8.00 is recorded as lost on the way.

Cancel a transfer

A transfer that has not been received yet can be cancelled. Open it, click Cancel transfer and give a reason. The goods go back to the sending warehouse at the same cost (Cancelled: the goods are back).

Statuses

StatusMeaning
In transitSent, waiting for the other warehouse to receive it
ReceivedEverything arrived
Received shortReceived, but some goods did not arrive; the difference is a loss
CancelledCancelled before it was received; the goods went back

An open transfer shows who it is Waiting for to receive it. Each transfer also has a History.

Filter the list by Warehouse and Status (In transit, Received, Cancelled).

Who can do what

Viewing and creating transfers need the transfer permissions in the member's role. Sending requires working in the sending warehouse; receiving requires working in the receiving warehouse.
